Getting set up

1. Set up your company first

When you first create an account, set up your company by going to Profile → Company Settings and entering your DOT number. HaulKit will look it up and auto-populate your legal name, address, MC, and contact info from the FMCSA.

Then enter your billing email — this is used as the reply-to on every invoice and tracking email your broker or customer receives. Double-check it before you send anything out.

2. Fill out Cost per Mile

Head to the Cost per Mile calculator and fill it out completely — fuel, insurance, truck/trailer payments, maintenance, permits, tolls, driver pay, and any fixed overhead. This one number powers everything else in the app.

Once your company and CPM are set up, every other tool functions correctly.

Running a load

3. Run a Load Profit check

Use your current location as the start point, then enter the pickup city/state, delivery city/state, and the broker/shipper rate. Submit and HaulKit returns three numbers:

  • Your cost — total operating cost for the trip based on your CPM
  • Broker rate — a detailed breakdown of what the load actually pays you per mile (loaded and total)
  • Market rate — the going lane rate so you know if you're getting fleeced

You can save the quote if you want to come back to it or compare against another load.

4. Use the TMS to run the load

The TMS side is pretty basic on purpose. Upload a rate confirmation PDF and the system parses it and builds the load automatically — broker, pickup, delivery, rate, reference numbers, all of it.

Once you submit, choose your tracking frequency and hit Start Tracking. HaulKit gives you a public tracking link you can send to your customer or broker so they can watch the load in real time without an account.

As you progress the load status (dispatched → at pickup → loaded → at delivery → delivered), HaulKit sends email notifications to your broker automatically. If location sharing is enabled, your current position also shows on the live tracking page.

5. Invoice and paperwork

Once the load is delivered, upload any additional documents — signed BOL, POD, lumper receipts, scale tickets — right on the load page. Then click Send Invoice and HaulKit emails the invoice and paperwork bundle directly to your customer from your billing email.

A QuickBooks sync is on the roadmap so these loads can flow straight into QB — coming soon.

Everyday tools

Safe Parking

Truck stops, rest areas, and driver-reviewed spots near you or along your route. Tap a spot for amenities, reviews, and directions.

Expenses

Snap or upload receipts and log them by category (fuel, maintenance, tolls, meals). Month-to-date totals so you know where your money is going.

Weather & Roads

Current conditions, hazards, and road alerts for your location or along your planned route. Location has to be enabled.

Freight News

A daily feed of freight industry headlines — rates, regulations, carriers, and market moves. Tap to read in-app.

Notifications

Load status changes, tracking updates, and important alerts. Control which ones you get in Profile → App Settings.
